Intake

Every engagement starts with a short, structured conversation so we know what we're building before we build it. We collect industry, current intake tools (phone, email, web form, scheduling software), rough monthly call volume, the top three pain points, and your timeline. That picture lets us scope a pilot that fits your real workflow — not a generic demo. Start with the pilot questionnaire at /pilot.

Design

We turn the intake answers into a written scope doc that we walk through with you before any code is written. The doc lists what the agent will and will not do, the success metrics we are committing to (booking rate, response time, hours saved per week), and every integration we expect to touch — typically your telephony provider, calendar, CRM, and email. If a metric or integration does not appear in the doc, it does not appear in the build.

Build

Now we build and wire the agent into the systems you actually use. We write the agent workflows (greeting, qualification, booking, fallback), connect into your telephony, calendar, and CRM, and run QA before anything ships. QA is substantive: live test calls, edge cases like transfers and voicemails, and fallback paths when an integration is down. The agent only goes live once the team can confidently say what it will and won't do.

Run

After launch we keep an eye on the numbers and tune the agent over time. Monitoring dashboards surface what is happening in real time — booking rate, missed calls, escalations. Every week we review the transcripts and tune phrasing and routing; every month we step back and look at the overall trends with you, refresh the scope if the business has shifted, and plan the next round of improvements.
